Rental Policy

RESERVATIONS
Reservations may be made up to 1 year in advance. Your deposit is due by credit card, check, cash, or money order within 7 days. DUE TO NUMEROUS NO SHOWS AND CANCELLATIONS, ALPINE NOW REQUEST THAT ANY NEW RESERVATIONS FOR 2008 MUST PAY REMAINING BALANCE 30 DAYS BEFORE ARRIVAL. No personal checks or cashier checks 30 days prior to an arrival, or at check-in. 1 night deposit & a 45.00 non-refundable reservation fee is required to hold reservations, 2 nights deposit on 12 bedrooms, 7 or more days a 2 nights deposit is required. NO RESERVATION MAY BE CHANGED OR SHORTENED WITHIN 30 DAYS PRIOR TO ARRIVAL ON 1-3 BEDROOMS, OR 60 DAYS ON 4 BEDROOMS AND LARGER UNITS , 90 DAYS ON 12 BEDROOM. There is a $25.00 fee for any changes made. All 4 bedroom & larger and up have a 5 night minimum stay during Thanksgiving. RATES ARE SUBJECT TO INCREASE. Three-night minimum during holidays (4 night minimum during Thanksgiving, Christmas, and New Years.   2 night minimum off season, 3 night minimum during peak season (June 10-Aug 15),October and Holidays, 4 NIGHT MINIMUM ON 4 BEDROOM AND UP FOR THE MONTH OF JULY. Christmas and New Years, 5 night minimum on 4 bedrooms or larger during Thanksgiving. All risk for late arrivals is assumed by the guests. All of our units have a security deposit. You may use a credit card or if you don't have a credit card, you must have a cash deposit, which will refunded after the unit is checked and no damages are found and mailed back to you within 10 days. NO HOUSE PARTIES. Check our web-site for specials. Rate is for 2 people unless otherwise stated, $15.00 per night for each additional person 12 years and older. Some units a flat rate based on a minimum amount of people. These units will not be reduced because you have less people. Rates are subject to change unless confirmed, call 1-800-235-2661 for Exact Rates.
 
CANCELLATIONS
You must cancel 14 days prior to arrival on 1-3 bedrooms, 60 days on 4 bedroom or larger, 12 bedroom 90 days to receive a 90% refund of your deposit. Cancellations less than the 14, 60, 90 days prior to arrival will forfeit 100% of the deposit. There is no refund for early departures, no shows, 2nd cancellations, bad weather, late arrival departures. Only the guest named on the rental agreement may cancel reservations and it must be in writing.
 
WEATHER AND DRIVING CONDITIONS
Weather changes quickly in the mountains, so we ask you come prepared. During winter months we strongly recommend you have 4 wheel-drive or snow chains. We cannot provide transportation to your unit. NO REFUNDS ARE GIVEN DUE TO WEATHER OR ROAD CONDITIONS. Our roads are well maintained some may be curvy and steep. NO CHANGES IN UNIT OR REFUNDS GIVEN DUE TO STEEP DRIVEWAYS OR FEAR OF HEIGHTS OF ROADS.
 
INSECTS
Each unit is professionally treated regularly by a licensed pest company, however we are in the mountains and occasionally unwanted guests do make their way inside. Please sweep up any dead insects or call the office if you have live insects and we will have the pest company take care of it.
 
CONSTRUCTION AND TRAFFIC
Sevier County is growing rapidly and you may want to plan an alternate route to avoid traffic delays. Call the office and we will be happy to assist you. Construction in the area of your unit is also possible. Please be patient and understanding. Construction is not under our control and will not be grounds for a refund or relocation.
 

GENERAL INFORMATION

All of our units are privately owned and are furnished to suit the owners taste and needs. All units are different. Please do not assume that a unit has all the amenities you want, make sure you ask about all your specific needs. Alpine tries to do everything possible to keep all equipment in working order, however it is impossible to guarantee that all appliances, Hot Tubs, Heat & air, Hot water heaters, etc. will be in working order 100% of the time. We will repair the problem as soon as possible during normal business hours, there will be no refunds for breakdowns or malfunctions of these or no refunds for electrical or cable outages. If your unit has satellite TV and you are confused about how to use it, we will be happy to assist you by phone, however if you insist we send someone to the unit and we find the problem is due to your error, there will be a $25.00 charge. Cable, satellite, telephone, gas, electric and water service are not under the control and cannot be guaranteed by Alpine Chalet Rentals. Hot Tubs are cleaned and sanitized before and after each rental. Covers should be left on Tub at all times when not in use. Children under 16, pregnant women, persons with heart conditions or skin sensitivities should not use Hot tub. DO NOT STAND ON COVER, IT WILL BREAK AND YOU WILL BE CHARGED FOR A REPLACEMENT.  Fireplaces are provided from October 1-----March 31. Fireplaces are closed from April 1 ---Sept. 30. PLEASE DO NOT BURN ANYTHING IN GAS FIREPLACES OR DO NOT REARRANGE LOGS. COST TO RESET LOGS WILL BE CHARGED TO GUEST. Alpine Chalet Rentals acts only as rental agent for the owner of the property and assumes no liability or responsibility for injury damage, theft, loss or accident of property or persons, or for conditions beyond our control.
Alpine makes every effort to assure that all descriptions and representations from our staff, in our brochure, and our internet site are accurate. However, we are not responsible for printing errors, computer errors, or changes made by the owners in furnishings or amenities. Prices, amenities, specials, and / or minimums are subject to change with or with out notice.
 
All Units with Alpine Chalet Rentals are privately owned and are decorated and furnished to suit the owner's taste and needs. Accommodations and amenities vary greatly. Please make sure that you inquire about all of your specific needs. The following is a list of basic items you will find in all of our rental homes: Heat & A/C, refrigerator, stove, microwave, toaster, coffee maker, basic pots & pans, dishes, flatware, utensils, Color TV(s), VCR(s), fire extinguishers & smoke detectors, bed linens, pillows, towels, washcloths and bath mats along with a starter supply of bar soap, dish soap, and paper goods to meet the home's maximum occupancy. Items that are NOT SUPPLIED typically include charcoal, kindling or fire starter, irons & ironing boards, extra blankets, cribs, laundry soap, plastic wrap, foil, coffee filters, condiments, spices or any type of food item. You may wash your towels at the unit or exchange them at the office between 9:00 am to 5:00 pm. Not all homes are decorated for the holidays. Only artificial holiday decorations are permitted and all evidence of any guest decorations must be properly disposed of upon departure. Only artificial Christmas trees are permitted. Our owners love their homes and would appreciate you treating it like it was yours. Do not remove anything from the unit or do any damages. You will be charged for them. Please do not move furniture, if you move furniture and we have to move it back, you will be charged. Please leave unit as you found it. If the unit is left excessively dirty, there will be a cleaning fee will be charged to your security deposit.
 
In the event a unit becomes unavailable to rent, we reserve the right to move you to a comparable unit or refund your deposit in full, if nothing is available. We have rules to ensure pleasant accommodations to return to each year. We look forward to your visit and want you to have a pleasant stay.
 
CHECK IN & CHECK OUT
The registered guest must contact Alpine Chalet Rentals office and designate one person only as the Check-In-Party. Keys will only be issued to this person. It is the booking guest's responsibility to coordinate all parties arriving separately. Guest arrival at the unit is not permitted prior to designated guest check in at the office. Check-in is at 3:00 pm, NO earlier, 4:00 PM for 12 bedrooms units. Check-out is 11:00 am, no later, EXCLUDING Christmas and New years our check in time is at 4 pm due to the high holiday volume. If you arrive early, you may have to wait to check in if your property is not ready.  If you arrive after 10 pm, please call the office for instructions. Late arrival should be avoided if possible and can only be allowed for guests with signed rental agreements received by our office. No keys will be left out unless balance is paid in full. When you are ready to leave please make sure you wash all dishes and place trash in outside containers and lock your keys in the lock box and call the office upon departure. A minimum of $100.00 will be charged for late departures unless you have permission from the office.
 
SECURITY DEPOSIT LOG
Guest are responsible for any damage the chalet experiences during their stay that is done by the guest, whether accidental or intentional. Guest will be charges for the damage, such as holes in walls, stains in the carpet, broken furniture or missing items, ect. Guest will also be held responsible for any maintenance bills incurred due to guest negligence, such as : *Diapers, sanitary napkins, ect. Flushed in toilet. *Dish washing detergent run in the dish washer instead of dishwasher powder. Damage to hot tubs and/or hot tub cover. *All Furniture, appliances, electronics and game equipment must not be moved and kept in the same condition as upon arrival. If the chalet is excessively dirty then the guest will be charged for an additional cleaning fee. I have read the above statements. I agree to be responsible for the cost of any damages and/or additional cleaning fees incurred during my stay. Trash Container MUST BE CLOSED AND LATCHED AT ALL TIMES. ANY CITATIONS RECEIVED DURING YOUR STAY WILL BE CHARGED TO YOUR SECURITY DEPOSIT. Please have your Credit Card ready upon arrival, In order to insure that properties are maintained and well cared for, as a security deposit, a hold will be placed on your credit card at check in, $150 on 1 to 2 bedrooms, $200 on 3 bedrooms, $450 on 4 & 5 bedrooms, $500.00 on 6-8 bedrooms, $750 on 12 bedrooms. The hold will remain in effect for up to ten (10) days or cash deposit for the same amounts will be required and a check will be issued back within 10 business days of departure. If there are no damages or extra cleaning charges the hold will be released by your credit card company. No refund will display on your credit card statement since this is simply a hold and not a charge. In the event extra charges exceed $150, the guest's credit card will be charged the entire amount of all damage or extra cleaning fees. A detail of all extra charges will be mailed to the guest. Any disputed charges are to be submitted in writing. NO PETS, NO HOUSE PARTIES ALLOWED.
